RFP BACKGROUND
The purpose of this RFP is to provide alumni, graduating students and their friends and family members, and University officials with diploma and portrait frames embossed on the mat with the official University of Waterloo logo. The University intends to establish a blanket Purchase Order for a three (3) year term, starting on January 1, 2018, with the option to renew for three (3) additional one (1) year periods.
Within the Office of Advancement, Alumni Relations has been responsible for the delivery of diploma frames for more than 24 years. Frames are sold throughout the year via the Alumni Relations office location and online store. The largest number of frames are sold in conjunction with the University’s June and October convocations, with a sales area setup in close proximity to the ceremony and reception. Large orders are placed in February and July, to be on campus by April 30 and October 1 respectively, to accommodate this surge in sales. Advertisement of the frames, as well as all physical sales are handled by Advancement staff.
All frames are made of solid FSC-certified hardwood and come with an acid-free mat embossed with the University of Waterloo logo. The frames are named as follows:
• Prestige: The highest quality option. A satin mahogany finish frame, featuring a gold-plated coin adorned with the University’s official seal inlaid in the black suede mat. Diploma size only. Offered at a bundled discount with a Classic 5x7 portrait frame.
• Classic: The mid-range option. An antiqued mahogany frame with a standard black linen mat. Available in diploma and 8x10 and 5x7 portrait sizes. Bundled discount of a diploma and 5x7 portrait frame offered.
• Contemporary: The economical option. A stylish black frame with a standard black linen mat. Available in diploma and 8x10 and 5x7 portrait sizes. Bundled discount of a diploma and 5x7 portrait frame offered.
