HRPA is seeking a vendor to provide a platform to effectively collect and manage all speaker profile information. HRPA’s current event speaker management processes are segregated and conducted within each functional area including the Learning Team and the Chapter Team. As a result, different platforms and applications are used to support each area. Other challenges include lack of effective functionalities to process speaker profile information, manual and tedious procedures, and processes when reviewing, rating, approving speaker information, incapacity to share, communicate, and collaborate speaker information across functional areas and stakeholders, as well as data security concerns.
This successful vendor will seek to satisfy the following for a Speaker Database (Speaker Bureau):
- A platform for speakers to update and manage their own profiles.
- The ability for speakers to submit their proposal (via fillable form) for consideration. The functionality for HRPA staff to view, evaluate (approve/reject) and rate speakers based on established criteria.
- The functionality for Chapter volunteers (external stakeholders) to:
- Search the database for approved speakers based on search criteria
- View speaker profiles and speaker submissions at any time
- Provide basic and advanced speaker search functionality. Including ability to filter by region, competency, delivery method (In-person, virtual, both, etc.), single department use (e.g. Chapters only or Professional Development only)
- Automated workflows and communication functionalities.
- Provide reporting capabilities on data stored in the database, for example speaker engagements, speaker ratings, session ratings, and speaker statuses.
