Description

HRPA is seeking a firm to assist us with ongoing website support services.

Overall knowledge and experience with website design and development, management and maintenance are expected, and the successful vendor will have expertise with WordPress software, including manipulating themes, working with REST and JSON APIs, and front-end JavaScript development using React and other frameworks. The vendor should also be familiar with digital marketing technologies such as SEO, and the ability to manipulate Google Tag Manager.

An understanding of, and strong adherence to, accessibility (AODA) standards within website platforms are also must-haves. The successful vendor will also be in position to offer a 24/7 helpdesk and/or timely response mechanism, and a dedicated team and/or staff resource(s) to address HRPA support requests, including those urgent and arising.

The HRPA digital environment includes not only the www.hrpa.ca WordPress site, but also an integrated member experience portal (MX) supported by Protech and a member community portal powered by Higher Logic. Familiarity with these platforms and proven experience integrating member experience and member community portals is preferred.

HRPA currently hosts its website internally, using AWS EC2 and LightSail. Familiarity with AWS, including load-balancing, certificates and web protection systems such as CloudFlare or Fastly is desired. A vendor proposal to host our website would also be welcomed if advantageous to HRPA.

All communication regarding this RFP event must be coordinated through the representative identified above. Any Supplier attempting to circumvent this process may be disqualified.
Vendors are encouraged to succinctly provide as much detail as possible in the RFP regarding their capability and expertise on ongoing website support and within a WordPress environment. Experience with WordPress integration, custom themes and front-end development is required.
Your proposal should include the following information, in the order listed below:

Qualifications:
1. Describe the history and structure of your organization – length of time in business, description of ownership, principle location, and number of employees;
2. Describe the capacities of your organization;
3. Describe all personnel who will be assigned any work for this project. Provide a summary of their qualifications, including whether they hold any designations. Indicate who will serve as lead/primary contact for this project;

Experience:
1. Provide a brief summary of your organization’s experience with ongoing client website support, with particular emphasis on similar environments to that of HRPA;
2. Provide a brief summary of your experience with like organizations, particularly any experience with integrating member experience and member community portals.
3. Provide a brief summary of other, related work that your organization has performed;
4. Provide three references of current or former clients for projects completed in the last three years which would be similar to the work described in this RFP;
5. Provide any additional information that would support your organization’s qualifications and experience;

Project Approach:
1. Describe how you will accomplish the scope of work of this proposal;
2. Describe the methodology to be used and your approach to the deliverables and expected digital support;
3. Provide an estimate of the time and cost typical of this type of website support contract, including specialized services;
4. Provide a complete budget for the proposal on an annual basis.
5. Describe how you would foresee utilizing support requirements from HRPA.

This RFP requests specific information and, when responding, vendors are encouraged to provide any additional information they believe is relevant. Examples of previous work must be included, and the full RFP must be submitted by the deadline listed in the timeline. Also, please note that upon confirmation of engagement, a non-disclosure agreement will need to be signed off.
Finalists will be scored and selected based on the samples of work and responses within the RFP, including proposed cost. Consultants and firms who are Minority, Women, Small Businesses, and/or Small Businesses in Rural Areas are strongly encouraged to apply.
