HRPA is seeking a vendor to effectively manage all speaker bookings throughout the lifecycle of the contract. HRPA’s current event speaker management processes are segregated and conducted within each functional area including the Learning Team and the Chapter Team. As a result, different platforms and applications are used to support each area, similar events are offered by each department resulting in ineffective use of HRPA’s resources. Other challenges include lack of effective functionalities to collect and manage speaker profile information, manual and tedious procedures, and processes when reviewing, rating, approving speaker information, incapacity to share, communicate, and collaborate speaker information across functional areas and stakeholders, as well as data security concerns.
This successful vendor will seek to satisfy the following:
• The facility for speakers to create, update and manage their own profiles (including presentation materials).
• The facility for speakers to submit their proposal for consideration. Proposal can be tied to an event when requests for speaker submissions are made by HRPA or submitted for consideration for future events.
• The functionality for HRPA staff to view, evaluate (approve/reject) and rank speakers based on established criteria.
• The functionality for Chapter volunteers to view approved speaker submission at any time.
• The capability to manage speaker/vendor contract approval within the platform.
• Provide basic and advance speaker search functionality.
• Identify speakers’ regions.
• Identify speakers’ delivery methods (In-person, virtual, both, etc.)
• Identify speakers for single department use (e.g., PD only or AC only)
• Integration with MS Dynamics CRM (UX 365)
• Automated workflows and communication functionalities.
