Please provide your quotation along with breakdown of requirements by October 4th, 2021 at 12 p.m. to Leanna Sun (lsun@hrpa.ca). Any questions or details should also be forwarded to Leanna Sun, no later than October 1st, 2021, at 12 p.m.

Submissions should not exceed 10 pages in length and should include:

Firm Contact (including name, proposed project team and preferred method of contact)
Indication of which of the three streams of work for which you are providing a submission
Timeline
Budget (estimated costs) and payment terms
Previous examples of similar work
References including contact name, title and project name (preference given to regulatory bodies or non-profit associations

QUOTATION DETAILS
HRPA is seeking a vendor to update the existing documents on our website with the requirements to make them AODA compliant. In addition, we will need training on AODA best practices in order to upkeep our website and future documents that will be uploaded into the site.

We currently have over 260 documents (5,150 pages) uploaded to our website, including but not limited to: PDFs, Word documents, forms, and presentations.

The expected date for the completion of this project (documents update and training) is November 30, 2021.
Project Requirements
There are three streams of work as listed below. Your submission can include one, two or all three of these streams. Submissions will be evaluated on an individual stream basis, and please specify which option you are bidding on:

AODA update of approximately 260 documents (5,150 pages), included but not limited to:

PDFs
Word Documents
Forms
Presentations

Training our Communications Team on AODA best practices in order to upkeep our website and future documents:
- PDFs & Word documents (polices, reports, FAQs, etc.)
- Forms
- PowerPoint Presentations
- Website updates and best practices (editing and creating pages, blog posts, etc.)
AODA Conversion Software
- Easy to use tool to ensure PDFs are digitally accessible documents that meet AODA compliance requirements.
- Priority is given to software that identifies non-compliance and easily guides the user to remediate content to meet standards.
