This Request for Information (“RFI”) is issued by His Majesty the King in right of Ontario as Represented by The Chief Electoral Officer of Ontario (“Elections Ontario” or “EO”), for the purposes of gathering information about the marketplace in order to assist in the determination of future purchasing options or requirements. Respondents are asked to respond with their preferred meeting times to present their responses via a Commercially Confidential Meeting (CCM), as per Appendix B Meeting Preference Form.
The purpose of this RFI is to seek information from vendors regarding requirements for an Electronic Poll Book Solution.
Elections Ontario uses a comprehensive end-to-end Electronic Poll Book Solution to manage voting activities during an election. This Solution includes but is not limited to electoral data, voters list, voting locations, registration, Voter Records including Strike-Off Information, management dashboards, party portals, and for all technology voting channels (Advance Polls, Polling Day, Special Ballot, and Vote by Mail). In addition, the Solution is used by election personnel to look up, verify ID, add, revise and record an elector as voted. The Solution was developed by a third party and has evolved significantly over the last six years to include updated requirements initiated by policy, legislation, and/or business practice changes. As this contract is coming up for renewal, EO wishes to engage the vendor community to understand best practices and innovations in Electronic Poll Book Solutions for inclusion into a possible future RFP (Request for Proposal).
