Steelcase furniture authorized vendors are invited to provide quotations for the provision of maintaining TPS’s current Steelcase product lines in good working order, provide additional Steelcase product to maintain or supplement existing product lines, reconfigure existing furniture as required, assemble new furniture, furniture repairs for the warranty and non- warranty items.
Submission Requirements

Proponents are to submit their proposal through the MERX EBS System prior to 1:00:00 P.M. on Monday December 06, 2021.
Scope of Work
Over the last 3 decades, the Toronto Police Service (TPS) has installed Steelcase products at a number of locations. The purpose of this Request for Quotation for an authorized Steelcase furniture vendor is to provide repairs and replacement of TPS’s current Steelcase product lines such as Series 9000, Montage, and other accessories that either are currently under warranty or are non-warranty items. The services will include supply, delivery, warranty, setting-in-place, installation and removal of any debris of new Steelcase workstations, components and accessories. Reconfigurations of Steelcase products may also be necessary.
TPS Facility Management Services (FCM) reserves the right to determine the nature of the work required. Repair request shall be actioned within 3 business days of receiving it. The successful vendor may be required to provide service after hours and weekend work as required.
The TPS’s last purchase of Steelcase product was in 2021, which carries a 10 year warranty.
Vendors submitting quotations shall be Steelcase local dealers, and should have similar experience in type and scope, and shall be able to refer to specific work of a comparable nature. The onus is on the Vendor to show their knowledge, understanding and capacity to conduct the work outlined in this RFQ.
Work awarded and/or commenced prior to the expiry of this agreement shall be completed under the terms of this agreement regardless of the expiry date. The VOR shall also retain any warrantee obligations beyond the term of this agreement until the end of the warrantee period.
Term of the Contract
The initial Contract will commence upon award of a Contract for three (3) years from the date of award, with an option to renew for two (2) additional one (1) year periods, all in accordance with the terms, conditions, and specifications contained in the RFQ.
Piggyback (if applicable)
The TPS may, upon request, permit other Public Bodies to purchase against any Contract which may result from this RFQ. Bidders are requested to indicate on the Pricing Submission form if they will extend the pricing, terms and conditions of this Bid to other Public Bodies, if the Bidder becomes the Vendor. If the Vendor agrees to this provision, participating agencies may enter into a Contract with the Vendor for the purchase of the Goods and/or Services described herein based on the terms, conditions, prices, and percentages offered by the Vendor. Minor changes in terms and conditions, including shipping and delivery options, may be negotiated by participating agencies. Please note: copies of the Vendor’s submission may need to be provided to the interested agency (in confidence) in order to review prior to participating.
Non-Exclusivity
The awarding of a Contract to a Vendor shall not be a guarantee of exclusivity.
