The intent of this RFP is to purchase a Platform for MacEwan University’s Access & Disability Resources department (ADR) and Exam Services Office (ESO). The Platform will be used as a student database and functional system and will support, coordinate, track and report on MacEwan University students who request access & disability accommodations and exam services over their learning journey.
It is MacEwan University’s expectation that the Platform will have, at a minimum, the functionalities outlined in Section D – Scope of Work.
Preference will be given to a Platform that is not custom built.
Proponents Must respond to all mandatory requirements as outlined in Section 4 – Proposal Evaluation, Subsection 7.1 Mandatory Proposal requirements. Proposals not clearly addressing and meeting the mandatory requirements will be considered non-compliant and may not, at the sole discretion of MacEwan University, receive further consideration during the evaluation process.
MacEwan University is seeking assistance in implementing the Platform. Proponents Must include an implementation plan and a detailed work breakdown structure that defines the specific activities and whether the Proponent or MacEwan University will be responsible for executing each activity.
MacEwan University has a cloud first strategy and has a strong preference for cloud solutions, preferring true SaaS over vendor hosted solutions. On-premises solutions will be considered but they are not preferred.
MacEwan University expects to select an experienced and capable technology firm to provide the Goods and Services identified in this RFP and enter into an agreement with the successful Proponent starting no later than December 15, 2023. Implementation and training Must be fully completed, and the new Platform Must be fully functional with a go live date of May 1, 2024. Upon going live, MacEwan University would enter into a License and Maintenance or Subscription Agreement (the “Agreement”) with up to a three (3) year initial term and thereafter continue perpetually with one to three year terms until either party decides to terminate the agreement as per the termination clause of the Agreement.
