23-1573 - Managed Print Services

The City is seeking Proposals from experienced companies for the acquisition of both single purpose and multi-function printers, plotters and scanners, and the provision of a Managed Print Services (MPS) solution.

The Successful Proponent will be responsible for all aspects of network printing and scanning at The City for Managed Print Equipment. The Managed Print Services solution will:
1.Supply, configure, deliver, and install print devices, scanners, or plotters;
2.Supply, configure, manage, and maintain all associated software:
3.Supply and deliver print consumables, recycle used consumables;
4.Manage device moves, changes, and retirement of assets;
5.Coordinate activities to install or move large numbers of print devices, scanners, or plotters;
6.Provide preventative maintenance of print devices, scanners, or plotters;
7.Resolve reported device (break/fix) issues;
8.Provide performance and capacity monitoring and management;
9.Maintain accurate information with respect to all print devices, scanners, or plotters;
10.Provide reporting of Service Levels;
11.Provide reporting on device inventory (location, status, usage etc.);
12.Periodic reporting on device security configuration;
13.Flag and remediate devices that do not meet City security standards/compliance;
14.Ensure alignment with The City technological environment and requirements;
15.Ensure alignment with City security requirements and remediate any security deficiencies;
16.Implement secure print capability;
17.Provide accurate billing;
18.Provide fleet management and fleet optimization;
19.Provide User training; and
20.Provide continuous service improvement.

The City’s focus is to establish comprehensive, high quality print management capability for all City departments.
