Notice is hereby given by School District #41 (Burnaby) of its intent to contract with Ricoh Canada Inc. for the acquisition of an integrated document, print and copy solution within the School District. The anticipated contract term is 5 years. The contract and term will be subject to the availability of expected short and long-term funding and ongoing budget resources from the School District. School District #41 (Burnaby) has chosen to direct award this contract for the following reasons: 1. The vendor has significant background, understanding, qualifications, and expertise in the K-12 education sector that will enable them to complete the requirements of this contract including strategic alignment of the PaperCut service to match reduced print copy timeframes established by the district. 2. The vendor has unique knowledge and experience with the development, implementation, and support of the PaperCut product and they have partnered with many School Districts, providing these same services. 3. Burnaby has a significant investment in Laserfiche ECM services and the related technological infrastructure. The vendor has been instrumental in our development of various Laserfiche-related workflows and provides support on an annual basis. Their knowledge of our systems combined with a solid understanding of K-12 education sector requirements has enabled us to design associated processes that have propelled digital transformation in the district. 4. The vendor is not only BC’s but Canada’s largest Laserfiche Value Added Reseller (VAR) with SLAs that ensure timely support for our critical services and development teams ready to assist with ongoing development across all district business and education departments. Vendors wishing to object to this decision should submit an objection in writing specifying details of qualifications and proof of capability to deliver the required services. The letter should be sent to Sandy Cai, Senior Buyer Purchasing Department School District #41 (Burnaby) by email on or before 2:00pm Pacific Time on October 19, 2021. We will assess the letter(s) received and either conduct a competitive bid process or inform the vendors of our decision and proceed as above. All decisions will be final.
