The University of Waterloo (UW) is soliciting proposals from potential suppliers to provide toilet paper, paper towel and soap (collectively “Washroom Consumables”) to the University of Waterloo’s properties including, but not limited to the Service Locations as outlined in detail in Section 6 – Requirements.
The University of Waterloo is looking to establishing a five (5) year agreement, with optional extensions of two (2) years each, with a reputable company in order to standardize toilet paper, paper towel and soap products used across all UW campuses as well as the associated dispensing systems. The successful Proponent will be expected to name an Account Representative to act as the dedicated liaison for UW.
Only companies with the ability to supply all three (3) products, the dispensing systems and capable of completing installation within the designated timeframe will be considered. The Successful Respondent will be responsible for the installation of dispensers for soap, toilet paper and paper towel in washrooms/shower rooms, kitchenettes, common areas, lounges and labs, clinics and other such spaces, at each UW campus location including satellite locations & affiliated colleges throughout the transition. To facilitate post transition completion UW staff will provide installation services in new builds or in the event of replacement.
Respondents must be able to meet the needs of the University in terms of quantity and delivery time, and have the ability to fast-track orders where essential. Respondents will have a contingency plan that can guarantee supply for main campus and satellites buildings in case of an unexpected event/incident. Delayed deliveries/ product shortages and/or delayed installation will incur a financial penalty.
Given usage volume, it is an expectation that pricing will be competitive and locked in for the initial 3 years of the contract. The Successful Respondent will be selected upon the basis of being able to supply all three products at the best value. Note that part contracts (e.g. toilet roll only) will not be considered. Products and the dispensing unit must meet all of the specifications outlined in detail in Section 6 - Requirements.
Respondents must provide proof of insurance coverage/ certifications /licenses and other documentation as a prerequisite (these requirements are outlined in greater detail in Section 4 – Award of Contract).
Respondents must be able to deliver more than once per week and offer customizable skid sizing. The Successful Respondent will ensure professional conduct and will adhere to all pertinent legislation/code requirements as well as all regulations of the University, including security and safety etc.
