Note that in order to receive the current employee information documents, prospective suppliers will be obliged to execute a confidentiality agreement in accordance the terms of the procurement documents.
Description of Procurement
This Request for Proposal (“RFP”) is an invitation to prospective Proponents for Submissions indicating their organization’s capability, and unit costs to provide furniture to Ryerson University for the above mentioned project.
Proponents must be able to provide and meet the specifications of all items in order to be awarded this competitive bid.
The procurement is anticipated to involve negotiation. An electronic auction is not anticipated.

Submissions must be submitted electronically at http://ryerson.bonfirehub.ca on or before 11:00 a.m. May 03rd 2019.
The submissions will not be opened publicly.

Mandatory Submission Requirements
File #1 - Proposal Acknowledgement Form
- Each Proponent shall complete, sign and submit a Proposal Acknowledgement Form. The Proposal Acknowledgement Form forms part of the Proposal.
File #2 - Specification Requirements
Each Proponent shall complete and submit the specification sheet template (Appendix G) for all items/products. Proponents must meet the specifications that are outlined in the specification sheets (Appendix F) and also the points below.
- Integration with Electrical, communications and AV
- Requested quantity of power and data at work surface/table top
- Material as specified/ Fabric durability grade is met
- Quality of materials and components will meet performance of that specified.
- Ergonomic performance criteria is met
- Sizing of work surfaces is as specified and will not jeopardize code compliance
- Proponents MUST submit images of all proposed items
- Proponents must show workstation types in their respective groupings. Proponents must submit and use the template outlined in Appendix J – Reference Workstation Groupings for this.
- The specifications for the items outlined table below must be met in order for proponents to proceed to stage 2. Ryerson will not accept any variation to the specifications outlined.

- Specifications for all other items must also be met in order for proponents to proceed to stage 2, however, Proponents may propose alterations to these specifications during the questions period (Deadline for this is 11:00 a.m. on the 19th of April 2019).
- Ryerson will determine if the alterations are acceptable by the response to questions deadline (Deadline for this is 11:00 a.m. on the 26th of April 2019). For clarity the questions and answers will posted on MERX for all proponents to see.
Scored Submission Requirements
3. File #3 - Previous project experience by proposed project management team members
Proponents are to provide resumes and descriptions of past projects with similar scope and complexity for all proposed project management team members
4. File #4 - Previous project experience by proposed delivery and installation team
Proponents to provide company information and past projects with similar scope and complexity for proposed delivery and installation team or 3rd party vendor.
Team must be familiar with working in occupied buildings, as well as working on projects still under construction.
5. File #5 - Proposed schedule in order to meet RFP deadlines
Proponents should provide a detailed delivery and installation schedule that reflects their submissions. The schedule must commit to the dates shown in Appendix B – Deliverables section 1.11.
Note: No items shall have longer than a 12 week lead time.
6. File #6 – Design Vision (Max 1 page written plus renderings)
Proponents should provide a design vision of the space that illustrates the solution of all workstation types and groupings. The vision should identify product lines and components, and indicate where any substitutions are proposed.
Proponents should ensure they include details relating to the items below in their design vision:
Power and Network Integration/access
Cable management of power and network systems
Ability to access those systems/spines without the need to contact manufacturer
Panels/screens offer seated height privacy
Ability to modify or reconfigure privacy panels/screens in the future without need to contact manufacturer.
Ability to customize and/or add accessories (monitor arms, keyboard trays, etc)

7. File #7 - Pricing Requirements
Provide a completed Price Form as set out in Appendix D – Price Form.
Pricing MUST be all inclusive, including shipping costs, coordination with General Contractor on site, any design effort deemed necessary, as well as all items listed in Appendix B.

Contract Details
The term of the Final Agreement is upon successful completion of the Deliverables.
