Background and Purpose
McMaster University invites qualified suppliers to submit proposals for the supply of print production equipment in the Department of Media Production Services in accordance with the terms of this Proposal Call. Vendors are requested to provide full colour digital print production equipment for McMaster’s Media Production Services (MPS) print shop which operates a central production site out of the McMaster University central campus.
MPS currently utilizes two (2) Xerox 770 digital colour printers. The proposed solution must be comparable to/or better than current equipment configuration. McMaster is open to exploring other solution configurations, meaning the solution does not have to be two (2) similarly configured printers, as long as the solution proposed by the Proponent at a minimum matches the overall capabilities of our current solution. In addition, McMaster will consider end-to-end digital production workflow solution(s) that generate efficiency. Therefore, the Proponent is encouraged to propose equipment configuration mix and digital workflow solution(s) that would best fit our in-house operation and colour production requirements. Our current internal colour volume estimated at 1 million per annum.
Proponent(s) shall provide pricing for:
· Option A, the outright “Purchase of Equipment” with a 3 +1+1 warranty option, or
· Option B – the “Lease of Equipment” on a 3+1+1 year lease option.
Prices must include but are not limited to the following; training and on-going training requirements, all duties, freight charges (DDP delivered duty paid,), adequate transit insurance, loading and unloading charges, setting in place, installation, set-up, connecting to applicable services, testing and the cost of disposal of any refuse, packaging materials or any other waste material.
All consumables are to be included in the bid. The successful Proponent will be issued a Purchase Order covering the products and services contained in this proposal.
The initial term of the agreement is to be for a period of three (3) years with an option to renew on a yearly basis for an additional two (2) years, subject to satisfactory annual review.
