Ontario Brain Institute (OBI) is a provincially funded not-for-profit organization maximizing the impact of neuroscience and establishing Ontario as a world leader in brain research, commercialization and care. OBI is dedicated to improving brain health by supporting collaborative research, commercialization of neurotechnologies and strengthening key partnerships and programs.
The purpose of this RFP is to identify the most suitable information technology (IT) service provider to support the information technology needs of the Ontario Brain Institute and its staff.
OBI is currently composed of 30 staff with typical work hours from Monday to Friday, 9am to 5pm. Approximately 5 intern staff members rotate every 6 months in addition to the core staff. Over the course of the next few years, other training opportunities offered by OBI may lead to the creation of new staff IT requirements for up to 5-10 additional members. OBI has one IT professional onsite who will provide Tier I support.
Currently, the OBI IT infrastructure is composed of the following devices: Server room with One server rack, 2 Cisco Data switches, one PBX, 3 VoIP Cisco switches, one physical server (multiple VMs), 1 WiFi controller with 3 access points from Fortigate, one firewall Palo Alto, one AC unit, 1 Xerox Multi-function Printer, and a couple of desktop printers for office use. 3 board rooms are equipped with LED TV (1x86" TV + 2x75"TV) and 3 Conferences phone, and 38 office desks are equipped with VoIP phones.
Our current IT service provider manages:
• Active Directory
• Online Office 365 Exchange
• OneDrive storage in Office 365
• DFS FileHub
• On-premises File&Print service
• Other services listed under 3.1.I. Managed IT Support Services
Currently, the Client has 30 users and workstations and two servers (AD Domain Controller, File&Printserver) on-site. Staff also frequently work from home using OBI provided laptops that provides access to emails and internal documents through a secure connection (VPN or LogMeIn). Staff are able to also use their personal devices to access emails, but cannot access the corporate shared file directory from these devices. Staff have the option of using their own devices or an OBI-issued mobile device to perform work-related activities. The service provider will be responsible for purchasing and maintaining OBI-issued mobile devices and for placing personal mobile devices on the OBI phone plan.
Data Location
OBI servers store data and security is ensured by use of AD.
Email and files are also stored in the Cloud with the use of One Drive and access is protected by use of AD.
